Our client is a leading privately owned multinational company with headquarters in Lagos, Nigeria and presence in some other African Countries. The Group is a diversified conglomerate, with interest in Banking, Telecoms, Oil & Gas and Real Estate.
The company desires to recruit a top level, highly competent, result-oriented, talented and self-motivated experienced Executive Secretary, for the office of the Board with an excellent track record of achievement.

Duties and Background

  • The Senior Executive Secretary to the Board will be responsible for providing efficient and personalized Secretarial and Administrative support to the Office of the Board in a professional and timely manner.
  • Our ideal candidate will have a cheery disposition, impeccable organizational skills, and prior experience in an Executive Secretary role supporting busy Top level Management Executives such as Directors, COO’s, CEO/MD’s or Senior Management Executives.
  • Our ideal candidate must be very respectful and honest with great ethical standards (a high level of integrity and uprightness is critical to succeed).
  • Candidate must be well-organized and have great time management skills, report writing, excellent communication skills, scheduling & managing itinerary, e-mail management, good listening skills, and be able to work independently delivering exquisite results.

Executive Secretary

 

  • You will be involved in Managing and coordinating the Board’s calendar and ensuring schedule is followed in an organized manner.
  • Updating the to-do list on regular basis and ensuring effective follow-up on timely basis.
  • Collecting daily and monthly MIS reports from all the concerned Business Heads across the Group.
  • Manage senior executives travel logistics (domestic & international) and other activities, including accommodation and transportation.
  • Preparing the tour expense report for the Board.
  • Complete a broad variety of administrative tasks that facilitate/support the Board’s ability to effectively lead the organization.
  • Manage all communications from the Office of the Board’s desk.
  • Maintain organized filing systems and ensure documents are stored securely and accessible when needed.
  • Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the Boards’ ability to effectively lead the company.
  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.

 

 

Qualifications and Requirements:

  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Very strong interpersonal skills and the ability to build relationships with the Board and other Businesses within the Group.
  • Expert level written and verbal communication skills.
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability.
  • Emotional maturity.
  • Highly resourceful team-player, with the ability to also be extremely effective independently.
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands.
  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment.
  • Forward looking thinker, who actively seeks opportunities and proposes solutions.
  • Strong work tenure: 10 to 19 years of experience supporting C-Level Executives, preferably in a corporate setting (Bank / FMCG/Telecom/Oil and Gas).
  • Experience and interest in internal and external communications and partnership development.
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms as well as Zoom.
  • Candidate must be very mature (a minimum of 45 years of age, strictly Male)
  • First degree in any related discipline (Bachelor’s Degree / HND)
  • Masters / MBA will be an added advantage.
