We are recruiting to fill the position below:

Job Title: Visa Application Assistant (Customer Service)

Location: Magodo Phase 2, Lagos

 

Job Summary

  • The Visa Application Assistant is responsible for assisting clients with their visa application processes, ensuring all required documentation is completed accurately and submitted in a timely manner.
  • This role requires strong organizational skills, attention to detail, and excellent customer service capabilities to guide clients through the often complex visa application procedures.

 

Key Responsibilities

Client Assistance:

  • Provide clients with detailed information on visa requirements, application procedures, and processing times for various countries.
  • Assist clients in completing visa application forms and gathering necessary documents.

Document Verification:

  • Review and verify the accuracy and completeness of all submitted documents to ensure they meet the requirements of the respective embassies or consulates.
  • Notify clients of any discrepancies or missing information and guide them on how to correct or obtain the necessary documents.

Application Submission:

  • Prepare and organize visa application packets for submission to embassies, consulates, or visa processing centers.
  • Ensure timely submission of all applications and track the progress of each application until a decision is received.

Customer Service:

  • Respond to client inquiries via phone, email, or in-person, providing clear and accurate information.
  • Maintain a high level of customer satisfaction by providing prompt and professional service.

Follow-up and Communication:

  • Follow up with clients regarding the status of their visa applications and communicate any updates or additional requirements.
  • Liaise with embassies, consulates, or visa processing centers as needed to resolve issues or expedite applications.

Record Keeping:

  • Maintain accurate records of all visa applications processed, including copies of submitted documents and correspondence with clients and authorities.
  • Update the internal database with application statuses and relevant client information.

Compliance and Regulations:

  • Stay updated on changes in visa regulations and requirements for different countries.
  • Ensure that all visa applications comply with the relevant immigration laws and guidelines.

Support Services:

  • Provide additional support for travel arrangements, such as booking flights and accommodations, if required by the client.
  • Assist with other administrative tasks as assigned by the Visa Application Manager.

 

Qualifications

  • High School Diploma or equivalent; a Degree in a related field is a plus.
  • Previous experience in visa application processing, customer service, or administrative roles.
  • Excellent communication and interpersonal skills.
  • Strong attention to detail and organizational abilities.
  • Proficiency in Microsoft Office Suite and experience with database management.
  • Ability to handle sensitive and confidential information with discretion.
  • Multilingual skills are an advantage but not required.
