Job Description
- The Legal Office Assistant will provide administrative support to attorneys and staff, ensuring the efficient operation of the office.
- Responsibilities include managing office supplies, maintaining filing systems, handling incoming communications, and performing various clerical tasks.
- This role requires a high level of organization, attention to detail, and the ability to work in a fast-paced legal environment.
Responsibilities
- Greet and assist clients and visitors, answer and direct phone calls, and manage the reception area.
- Organize and maintain physical and electronic filing systems; photocopy, scan, and file legal documents; assist with the preparation and editing of legal documents and correspondence.
- Monitor and maintain office supplies inventory; order supplies as needed.
- Sort and distribute incoming mail, prepare outgoing mail, and handle courier services.
- Assist with scheduling appointments, meetings, and court appearances for attorneys.
- Input and update client and case information into the firm’s database.
- Perform errands such as delivering documents to court, picking up supplies, or making bank deposits.
- Assist with special projects, office events, and any other administrative tasks as required.
Qualifications
- Education: High school diploma or equivalent; additional education or certification in office administration is a plus.
- Experience: Prior experience in an administrative or office support role, preferably in a legal environment.
- Skills:
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Familiarity with legal terminology and procedures is an advantage.
- Ability to maintain confidentiality and handle sensitive information.
