Job Title: (Part-Time) Virtual Assistant.

Job Summary

Our client is seeking a proactive and highly organized Virtual Assistant to help manage day-to-day tasks, schedules, and projects, ensuring smooth operations and maximizing efficiency. You’ll assist with calendar management, task prioritization, meeting coordination, and general administrative support. Your role is critical in keeping things on track, meeting deadlines, and providing the support needed for ongoing projects.

 

Company Overview:

Our Client runs a platform that connects first-time and experienced investors, allowing them to pool their resources and co-invest in real estate properties. It simplifies the co-investment process by offering legal tools, investor matchmaking, and risk-sharing agreements that create a transparent, efficient, and scalable solution for entering the real estate market.

 

Key Responsibilities

  • Coordination of Operations: prompt response and attention to detail, scheduling appointments, confirmation, and follow-up communication; 
  • Assist in managing ongoing projects by tracking progress and following up on action items to ensure timely completion. 
  • Efficiently maintain and organize data, ensuring it is easily accessible and consistently updated. 
  • Manage email correspondence, take notes during meetings, and ensure all files and documents are well-organized. 
  • Organize, prioritize, and oversee tasks to meet deadlines and ensure no details are overlooked.
  • Improve internal processes and streamline business functionality by researching current industry trends and using that insight to form relevant, actionable solutions.
  • Manage information flow efficiently and ensure accuracy in communications; format and distribute internal and external communications, including memos, emails, presentations, and reports.
  • Demonstrate strong writing and proofreading skills, with proficiency in creating PowerPoint presentations.

 

Qualifications

  • Proven experience in executive or personal assistant roles, or similar administrative positions. 
  • Proficient in using ChatGPT, Airtable, Mailchimp, WordPress, Canva, and Salesforce, with expertise in AI productivity apps and automation tools. 
  • Skilled in database management, ensuring data is organized and easily accessible. 
  • Capable of working independently, with strong creativity and initiative.
  • Exceptional verbal and written communication skills
  • Familiar with productivity tools like Google Calendar, Trello, and other project management software. 
  • Able to excel in a competitive environment while maintaining a positive attitude. 
  • Detail-oriented and organized, with the ability to follow a structured schedule effectively.
  • A high level of discretion and confidentiality. 

 

Working Conditions Details;
Work Environment: This is a fully remote position.
Working Hours: 15 hours per week, 3 days a week.
Role Type: Part-time, Remote
Budget: $550 per month
