Job Description
- Very Strong Communication Skills: Strong written and verbal communication skills are essential. The ability to communicate effectively with internal and external stakeholders is crucial. Great Interpersonal skills.
- Organizational Skills: Excellent organizational and time management skills are necessary to manage the CEO’s schedule, coordinate meetings, and handle various tasks efficiently.
Adept Business Acumen:
- The ability to analyze data and identify opportunities.
- Follow up on business opportunities
- Establishing plan parameters.
- Research and information gathering prowess
- Understanding of Financial and performance metrics, taxation.
- Evaluating potential outcomes.
- Ability to respond to RFPs and RFQs
- Knowledge of statutory / regulatory requirements necessary to tender bids.
- Managing implementation and results-tracking.
- Discretion and Confidentiality: High level of discretion in dealing with sensitive information. Must maintain a high level of discretion and confidentiality
- Technical Skills: Proficiency in office software (e.g., Microsoft Office suite), calendar management tools, and other relevant software is important.
- Adaptability: The ability to adapt to a fast-paced and dynamic work environment is crucial. Willingness to work with various time zones around the world; should be flexible and able to handle unexpected changes.
Job Description of an Executive Assistant
- Calendar Management: Schedule and manage the CEO’s appointments, meetings, and travel arrangements. Ensure that the CEO’s schedule is well-organized and optimized.
- Communication Liaison: Act as a point of contact between the CEO and internal/external stakeholders. Handle and prioritize incoming communication, including emails and phone calls.
- Administrative Support: Provide general administrative support such as drafting emails, preparing documents, and handling routine correspondence on behalf of the CEO.
- Meeting Coordination:Coordinate and organize meetings, conferences, and events. Prepare meeting agendas, take minutes, and ensure follow-up on action items.
- Travel Arrangements: Make travel arrangements, including booking flights, hotels, and transportation. Provide detailed itineraries and ensure travel plans align with the CEO’s schedule.
- Information Management: Manage and organize information, documents, and files related to the CEO’s responsibilities. Maintain an efficient filing/record keeping system for easy retrieval.
- Problem Solving: Anticipate and address potential issues before they arise. Solve problems independently and make decisions on behalf of the CEO when necessary.
- Project Support: Assist in special projects and initiatives as directed by the CEO. This may involve research, data analysis, and coordination with various departments.
- Time Management: Screen and prioritize incoming requests, ensuring that only relevant and important matters reach the CEO.
- Relationship Building: Maintain positive relationships with key stakeholders, both internal and external, on behalf of the CEO.
Required Qualifications, Experience & Skills- Executive Assistant
- Education: A Bachelor’s Degree in Business Administration, Computer Science, Information Technology, Finance, Project Management is preferred.
- Experience: Minimum of 2 years Experience in a similar role in the ICT industry.
- Test – The candidate should be willing to participate in a hands-on test
