Job Description

Quanta LLC is seeking a highly organized and detail-oriented Executive Assistant to provide comprehensive administrative support to our CEO. As the Executive Assistant to the CEO, you will play a critical role in ensuring the smooth operation of our organization and enabling our CEO to focus on strategic initiatives. You will be responsible for managing the CEO’s calendar, coordinating meetings and travel arrangements, preparing reports and presentations, and handling various administrative tasks.

Responsibilities

  • Manage the CEO’s calendar and schedule, including arranging and prioritizing appointments, meetings, and conference calls
  • Coordinate travel arrangements, including booking flights, hotels, and transportation
  • Prepare and edit correspondence, reports, and presentations
  • Handle confidential and sensitive information with discretion
  • Screen and direct phone calls and emails to appropriate parties
  • Manage and maintain filing systems, both electronic and physical
  • Attend meetings, take minutes, and follow up on action items
  • Assist with special projects and event planning as needed

Requirements

  • Proven experience as an Executive Assistant, Personal Assistant, or similar role supporting C-level executives
  • Highly organized with excellent time management skills
  • Exceptional attention to detail and accuracy
  • Strong written and verbal communication skills
  • Proficient in Microsoft Office Suite
  • Ability to handle multiple tasks and prioritize effectively
  • Discretion and trustworthiness in handling confidential information
  • Ability to work independently and collaboratively in a fast-paced environment
  • Previous experience in a corporate environment is preferred
  • Bachelor’s degree or equivalent experience
